Call for Workshops
Workshops are an important part of IEEE AIxVR and complement the main program. They offer the opportunity to discuss topics related to AR/VR and AI in a more focused way, explore new research directions and novel applications, and provide excellent opportunities for networking. They typically feature regular paper presentations but also other forms of interaction, such as invited talks, panels, demos, and hands-on sessions.
Proposing a workshop: If you are interested in organizing a workshop at IEEE AIxVR 2025, please get in touch with general co-chair W. Hürst and provide information about:
the topic and focus of the workshop,
expected duration and size / potential participants,
planned content (paper presentations, etc.),
the organizers and chairs.
The conference's co-chairs will discuss and decide on acceptance upon consultation with the program co-chairs based on the feasibility and quality of your ideas and their fit to the conference's focus.
Important key dates: Applications will be handled on a case-base, so the sooner you submit, the more time you have to advertise and prepare your workshop. Accepted workshop papers can be submitted for inclusion in the IEEE Xplore Digital Library as part of the conference proceedings published by IEEE Computer Society Press if they are thoroughly reviewed by at least two experts. Be aware that the deadline for camera-ready submission of papers is early December. Thus, make sure to plan sufficient time for review and potential revisions. The conference will take place Jan 27-29, 2025.
The deadline for submission of workshop proposals or expressions of interest is May 31, 2024.

Call for Special Sessions
Special sessions provide organizers with an opportunity to host a session about a dedicated topic related to the conference as part of the technical program. They are integrated into the main program in the same way as regular sessions and typically feature technical paper presentations but can also contain other types of presentations, such as invited talks or panels.
Formalities: Special sessions are part of the regular conference program and should thus be similar in size and scope to a regular paper session at the event. Organizers are expected to recruit submissions, invite speakers, and take other related actions to organize their sessions. Papers and abstracts from invited talks can be submitted for inclusion in the conference proceedings (published by IEEE Computer Society) and the IEEE Xplore Digital Library if they are thoroughly reviewed by at least two experts.
Contact and proposal: If you are interested in hosting a special session, have any related questions, or want more information and exchange possible ideas, please contact general co-chair W. Hürst. Proposals will be discussed and decided upon by the conference's co-chairs upon consultation with the program co-chairs based on the following aspects:
the topic and its fit to the conference,
the planned content and expected contributions (incl. submitted papers),
the anticipated call for papers, and resulting contributions.
Please also provide some information about the involved organizers.

Venue & organization: IEEE AIxVR 2025 is a physical first event, meaning that it will take place on location in Lisbon, Portugal, and events will be scheduled according to the Western European time zone (UTC). Yet, authors who cannot make it to the event will be provided with the opportunity to join remotely. As a consequence, special sessions should also take place on location. Workshops, ideally, as well, but options to host an accompanying virtual or hybrid workshop may exist. Please get in touch with the organizers to discuss if you are interested in hosting a hybrid or virtual workshop.
